Weektally, screen by screen

Real screens from the app, with a fictional company in it: Kestrel Digital, an IT consultancy where delivery managers borrow consultants from practice leads, and not every request can be met.

Today: only what needs you

Maja runs operations at Kestrel Digital, a fictional IT consultancy of 20 people in Stockholm and Dublin. This is the first thing she sees.

Three people are booked over 100% in the next three months, seven project needs have nobody on them, four timesheet weeks are missing or short, and two requests are waiting for a line manager’s yes. Each card is one click from where it gets fixed.

The Plan board

Who is on what, month by month or week by week. Type a percentage to commit someone, or drag across to fill a run.

Contracts, countries and public holidays are already counted in each person’s capacity, so an over-booking shows the moment it happens.

Projects

Each project has its owner, tasks, schedule and milestones; here, Freshmart Loyalty and its rewards launch.

The badge beside each project says how much of what it asked for is staffed. Freshmart has 70%; Nordbank and Veritas have slightly more than they asked for. A project asks on its Resource needs tab, down to naming the person it wants, and that request goes to the person’s line manager.

People

Twenty people in two countries: who reports to whom, contracted hours, country and skills.

Elin works 32 hours and Raj is a contractor on 20. Each person’s capacity follows their own contract and their own country’s holidays.

Review: did the plan survive?

Planned against actual hours, by project or by person, for any period.

Over the last three months Freshmart Loyalty ran 27% over plan and Göta Energi 24% under. The other four projects came in on plan.

Review: who is behind?

Every person’s last eight weeks at a glance.

Three weeks are missing and one is under 75% of a contract. Nudge sends a reminder; nobody has to chase a spreadsheet.

Settings

The organisation’s working week, how weekends are handled, whether named requests need approval, and each country’s hours and public holidays.

These are the numbers behind every capacity figure in the app.

My week

Conor’s timesheet for last week. The work he was planned on came in as rows, with his share of each, before he typed anything.

He logged 44.5 hours against a 39-hour contract, most of it on Freshmart, which was planned at 60% of his week. Monday’s Irish bank holiday filled itself in. On a phone, filling in a week takes about a minute.

My plan

What Conor is committed to over the coming months.

He can see December is at 120% before anyone asks him to work it out, so nothing on the Plan board comes as a surprise to the person it names.
